Booking Terms & Conditions

Africa Biking Expeditions & Safaris is registered tour operator based in Nairobi Kenya East Africa. The contract including all matters arising it is subjected to Kenya law and Kenya courts. By paying 30% tour deposit (per person, per tour) you acknowledge that you have read and agree to the following conditions. These conditions will a bind you with the company.

PAYMENT

The balance of your tour cost is due 60 days before your departure from your country of origin. When a booking is made less than 60 days before departure then the full amount is to be paid at time of booking. If you fail to pay by the due date we reserve the right to cancel your booking and retain your deposit.

PRICES

Prices are based on cost and exchange rates. We reserve the right to adjust tour prices, before or after your booking. Until you have paid the tour in full. Park fees are also subject to increase at anytime

CANCELATION

If you cancel your tour, land and air cancellation fess apply. The fees is determined by the date that we receive written notification of your cancelletion.Land tour charges are as follows

Days before departure

  • More than 60 days Loss of deposit
  • Between 60 & 31 days 50% of total of total booking cost
  • 30 days or less 100% of total booking cost

CANCELLATION BY US

Our Safaris are subject to minimum operating numbers. On the rare occasions when less than the minimum number has booked we reserve the right to cancel the departure and will advise you of such cancellations not later than 40 days before the departure date. We will try to offer you alternative arrangement, if you do not accept these we will refund all payments you have made to Africa Biking Expeditions but we will not be liable for any claims made by you or for any additional costs incurred by you.

CHANGES TO YOUR ITINERARY    

Our tours are organized many months in advance and it may become necessary to make alterations to your holiday. Where the change is of significant nature we will, where practical, advise you of such changes before you depart.Occasionaly we may be forced to make changes enroute due to poor road conditions, weather, local strikes, boder closures, game movements, vehicle breakdown or other circumstances. A flexible attitude is important.

No responsibility is accepted for delays experienced as a result of changes, poor road conditions, weather, vehicle breakdown or any other reason. Safari vehicles/type and/or group sizes may also vary slightly due to vehicle maintenance, fleet management or other reasons. No refund wil be made should an advertised vehicle be sub situated with another.

REFUNDS

Refunds are not made for unused services, except those which can be recovered from airlines for unused flights and these may be claimed only through the airlines company. No refunds for those quitting the tour along the way before final finishing point.

INHERENT DANGERS

You understand and accept that your proposed tour may expose you to inherent dangers. Certain activities such as rafting, canoeing, hiking and mountain trekking are physically demanding and a good level of fitness is recommended. You accept that you will be travelling through areas, which can be subject to among other things, unfavourable political, physical, health or climatic conditions. You accept this risk which may occur on tour

YOUR HEALTH AND FITNESS

We strongly recommend a visit to your doctor and dentist before your holiday. You must ask your doctor about current medical inoculation requirements. Full details of pre-existing medical conditions must be forwarded to Africa Biking Expeditions when you book. These holidays are designed for younger clients. Older clients with pre-existing medical conditions may require letter from a doctor indicating that they are fit to travel. During your holiday, you are under control of your tour leader, who has the authority to determine your suitability to continue with the tour. No drugs on tour

TRAVEL INSURANCE

Travel insurance is compulsory for all people joining our trips. You wil not be allowed to join the tour without travel insurance to cover you incase of accident and other risk.

AGE LIMITS

These holidays are designed for younger travellers, generally in the 18 – 45 age groups. All clients are expected to carry their own bags and the type of accommodation and transport we use can be physically demanding. These are not convectional holidays, so you must be in good health.

NOT INCLUDED IN THE PRICE

Flights, passports, Yellow fever vaccinations, Visas, travel insurance, Optional activities, Drinks, Airport taxes, laundry or personal things not included in the price.

THE ADVENTURE FACTOR

No adventure is without risk, and overlanding is nothing if not adventurous- the unexpected is all part of the experience, and if you want your travel cut and dried, we suggest you look elsewhere! Africa is politically volatile and over twenty years our guides have coped with wars, revolutions and natural disasters, but we never court trouble and heed advice from the appropriate authorities.

COST AND VALUE

It is impossible to put a price on experience, reassurance, quality and true adventure – it’s impossible because these things are priceless. Africa Biking Expeditions is not the cheapest safari operator because we cannot afford to be. The nature of overlanding means that we need to provide you with the best leaders, the best equipment and transport, the best food and the best experiences. These do not come cheap.

WHEN & HOW TO BOOK

Due to the popularity of our trips, many are booked up well in advance (3/5 months ahead) it is advisable to book your trip as early as possible to ensure and guarantee space on your trip. Before you sign tour booking form it is advisable to read and understand the booking terms and conditions carefully. Let us know early in advance if you are vegetarian or if you have any medical complications

IF YOU ARE PREVENTED FROM TRAVELLING ON THE TOUR YOU BOOKED

If you booked a tour, then you are prevented from travelling by circumstances such as those which would permit you to make a claim on a normal cancellation insurance policy. You may transfer your booking to another future date or to another person provided he/she meet all the requirements relating to the tour.Tranfer fee between 70$/100$ wil be payable depending on the trip duration. Extra flights and permits cost may also be payable.

TOUR COMPLAINS

If you have any complains about the tour, you should it make it known to the earliest time possible to us in writing. We are always happy to resolve your complains as soon as we receive your email.

TOUR DISCOUNT

Book the same tour together as couples, friends, families or club and receive 10% discount. Discounts are given when you clear paying the tour in full.

YOUR DETAILS

In order for us to confirm your travel arrangements you must provide all requested details with the balance of the trip price. Necessary details include full names as per passport number, passport issue and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. On some more demanding trips we also require you to complete and forward a self- Assessment form. Your booking booking cannot be confirmed without provision of these details.

 PASSPORT AND VISAS

You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries in which you wil visit during your trip. Your passport must be valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.

RESPECT TO LOCAL PEOPLE

Africa is a unique continent. The life style and culture is very different from Europe and this might give you culture shock! There wil be times when kids wil be running shouting when they see you! It’s not an offence but the kids are excited to see you. Do not give money or sweets to the kids but you are free to say hello! It’s hard to avoid kids in Africa because kids are everywhere inside and outside the National parks. Sometimes we wil be getting strangers coming to say hello with no appointment. If the kids and strangers come to us, kindly show them respect so that they don’t feel unwanted by travellers.

FOOD SHOPPING

Only the guide and chef have responsibility to buy food stuffs in supermarkets along the way because they know what they need. You are free to shop for your own personal things which you may need on tour. Do check the expiry dates for drinks and personal food stuffs before you buy to ensure you don’t drink or eat expired food.

MEETING STRANGERS ALONG THE WAY

Do not get involved in any business with strangers you meet along the way in campsites or hotels without guides notice. Some strangers might pose in as hotels/Campsites staffs willing to help with carrying your bags then later disappear to unknown destination within seconds. Only deal with hotel staffs authorised by your guide. The company will not be responsible for any loss or damage which might occur when dealing with strangers along the way.

DRIVING TIME

Sometimes we will be driving between 3 to 8 hrs. or less depending on the distance. Driving time includes lunch stops, photos and toilet stops along the way. Sometimes they will be delays with traffic in big cities but not all the time. We don’t drive at night due to security reasons. We can only drive at night if forced by the circumstances i.e. driving to the hospital, camp, hotel or to the airport.

OPTIONAL ACTIVITIES

There is plenty of optional activities along the way. Please do budget for the cost early in advance. We will send you list of optional activities for the tour you have booked. Please note that local activities are done at clients own risk and the company will not be responsible for any damage or loss which might occur. You will have to sign separate contract with local operators.

SAFETY TO YOUR PERSONAL ITEMS

Your guide will try his or her level best to take you to safe hotels and campsites but cannot guarantee safety for your personal items by 100%.Do not leave any valuables in your tent or hotel room when going out for activities. The best safe place to leave your valuables is inside the car. Most camps and hotels do have security guards but you are also advised to be careful with strangers sharing the camps and hotels.

GUIDES

Africa Biking Expeditions & Safaris guides are knowledgeable on birds, wildlife, history and cultures of east Africa. They have been leading tours across East Africa over the yrs and know the best places to stop for photos, lunch or overnight. The decision of the guide will be final to all matters relating to the tour. The guide will decide your suitability to continue with the tour.

GUIDE TIPPING

Tipping in east Africa is optional. This will depend if the guide went extra mile to ensure your trip was successful. See tipping guide line form to see how much you can tip. You can decide to tip much or less depending on the guide.

GORILLA TREKKING PERMITS

Those willing to trek Mountain Gorillas in Bwindi National park must send Gorilla trekking fees to obtain the permits as early as possible. The treks are in high demand and spaces can only be guaranteed upon early booking. Gorillas and Chimps permits can be booked as early as 3 to 4 months in advance to guarantee availability.

POCKET MONEY

The a mount of pocket money to bring to East Africa will depend on how much you are willing to drink, Souvenirs to buy and list of optional activities you are willing to do. First you will need to budget for the list of optional activities, Souvenirs you are willing to purchase and amount of drinks you are willing to drink each night. Different people have different budgets but allow between 15$ to 20$ per day to cover everything. If you need more assistance on to plan your budget please email us and we will get back to you soon.
